Description:

Administrative Associate

General Purpose: To pursue the vision, mission, and strategic process of HCC as a Leader of an administrative support team to provide support and assistance to the staff. Works together with volunteer team to provide support to the entire pastoral and ministry staff. This is a management position responsible to manage volunteers to cover all aspects of church administration.

Essential Duties and Responsibilities:

Database
Maintain church database utilizing church organization software.
Assist and train staff in relevant data base information and give appropriate access.

Calendar
As calendar coordinator, work with staff members to maintain an accurate online church calendar of events with corresponding resource needs


Inventory
As inventory clerk, work with team members to order and maintain an adequate supply of office and paper goods and place special orders for team members as requested. This includes restroom and kitchen supplies.
Communications
Design and distribution of weekly bulletin.
Improve and maintain communication systems.
Maintain website, social media, and online marketing.
Design and create monthly online newsletter alongside pastoral team.
Train and equip volunteer team as church receptionists to maintain open office coverage between 10 and 2 Monday through Friday.
As pastoral assistant
Provide administrative support to Lead Pastor, including but not limited to: correspondence, scheduling, task and e-mail management, ordering promotional materials for upcoming church wide series or events, taking notes and relaying information for communication policies, communicating to staff, filing, copying, receipt management, and church-related errands.
Maintenance of confidentiality concerning church matters, especially relating to counseling and pastoral care matters.
Attendance at staff meetings and other meetings as requested by Lead Pastor.
Participate in annual evaluation process concerning job performance.
First contact point for benevolence calls and pass on to Lead Pastor or Deacon Team.
Maintain minutes and notify attendees of church business and staff meetings.


Financial (most accounting tasks are handled by outside accounting group)
Accounts Payable - oversee/perform timely payment to vendors and reimbursements to individuals.
Communicate available time off to employees; track sick/personal and vacation hours.
Maintain strong relationship and oversight of outside accounting group.
Budgeting - assist in process of developing annual budget

Other Duties:
Other duties/projects as assigned by the Lead Pastor
Be available to assist persons needing help from on site ministries and those using the building
during business hours.

Education: College Degree - Ministry or administration related field helpful.
Experience: Office administration and leadership experience necessary

Areas of competency :
Basic Computer Knowledge
Database Administration (Church Pro, Breeze, or other Church administration software)
Competent with Power Point, Excel, Word, Publisher, Outlook

Reporting: Reports to Lead Pastor.
Compensation: 15-20 hrs a week. $1,200 a month
