Position Summary: The IM Div. Assistant & Event Coordinator is responsible for providing assistance to the International Ministries Division, including the Paraclete Services and Administrative teams, as well as general planning and coordination of WorldVenture trainings and events. This position will support the IM Administrative Coordinator on matters pertaining to the International Ministry Division and work collaboratively with other departments on matters pertaining to trainings and events.

Position Responsibilities:
 Manage planning and logistical details of all on-site training and events
 Manage logistical details for the annual Renewal Conference involving international workers, staff, board members and invited guests
 Negotiate corporate agreements and contracts with local hotels, car rental and catering companies
 Negotiate and secure local venues for off-site events as needed
 Organize and manage event registration procedures
 Handle event communication with participants and staff
 Prepare guest materials and hospitality gifts as needed
 Manage WorldVenture mission vehicle reservations and driving log sheets
 Coordinate and train staff and volunteers assisting the events
 Manage event budgets, invoicing and reporting
 Handle event feedback and letters of gratitude
 Manage event kitchen storage, equipment and supplies

 Contribute to and help maintain the corporate events calendar
 Support IM-related events: Renewal Conference, trainings, debrief sessions, team retreats, global retreats, etc.
 Ensure follow-through on administrative tasks for which the IM Division is responsible, including forms, documents, meetings, and administrative practices
 Research regional and IM projects as requested by the IM Administrative Coordinator
 Cooperate with other divisions in preparing and reviewing IM materials for distribution and publications
 Help create and maintain event and personnel information being stored in Salesforce and in the Global Members Community portal
 Schedule Personal Debrief appointments for international workers
 Assist the Paraclete Services team with finding outside counselors as requested
 Maintain personnel and member care files and reporting
 Alert the IM Administrative Coordinator and/or Paraclete Services team on important personal, spiritual, ministry, and family needs/situations requiring a response
 Track resources and offers available to international workers, such as stateside housing, retreat centers and beneficial materials
Essential Knowledge, Skills, and Abilities:
 Time management: the ability to organize and manage needs and multiple projects efficiently
 Excellent communication skills (both verbal and written)
 Excellent interpersonal skills with a high level of professionalism
 High customer service ethics to understand and resolve the needs of others
 Contract agreement and negotiation skills
 Accounting skills in budget and expense management
 Ability to problem-solve independently and anticipate next steps in a fast-paced environment
 Highly creative and flexible in handling all work responsibilities
 Proficient with Office365
 Familiarity with, or willingness to learn, Salesforce and other online software programs preferred

Education or Formal Training: High school diploma, or equivalent; minimum of three years administrative and event
planning experience preferred

Work Environment/Physical Activities: Collaborative office environment with periods of sitting; ability to lift up to 25
pounds. Local travel is necessary; minimal domestic and international travel may be negotiated, but not required
