General Statement of Job Function

The Registrar Services Specialist supports the overall customer service vision within the Registrar’s Office by processing and managing daily requests from students, faculty, and staff. This position involves frequent interruptions, and the incumbent must be able to work independently, collaboratively, and cross functionally in a fast-paced and dynamic environment. This position requires confidence to navigate the institution’s policies and procedures and communicate those policies and procedures to students.

Essential Functions

  • Provides quality customer service to students, faculty and staff by being available to service walk-ins, answer phone inquiries and emails. Manage and complete daily requests such as transcript and registration requests, audit applications, personal information update requests, enrollment verification requests, add/drop forms, etc.
  • Serves as a Designated School Official (DSO) and assist in managing F-1 student records and systems.
  • Supports the Registrar and Academic Dean with Commencement (will be co-led with the Registrar for all Commencement planning).
  • Oversees the Registrar’s Office Work Study.
  • Supports the Registrar through engagement in special or major projects, committee work, and team activities as assigned.
  • Provides overall management and maintenance of student records including, but not limited to, filing, maintaining records storage space, digitization, and enforcement of the student record retention and disposition policy.
  • Tracks final grade collection and report to the Registrar.
  • Manages course extensions by approving requests on behalf of the Registrar, communicating with students, faculty, and staff about extensions, and maintaining records for extensions each semester.
  • Supports the Enrollment Management team by assisting students and staff with the online registration process and providing guidance on Seminary processes.
  • Facilitates waitlist management within the SIS.
  • Performs a variety of administrative duties, which may include but is not limited to, researching and assembling information from various sources for the preparation of records, reports, or manuals; proof-reading, editing and formatting documents for publication; entering, retrieving, and inputting data into computer systems quickly and accurately.
  • Coordinates and place orders for diplomas, graduation supplies and facilitate distribution of graduation packets.
  • Contributes to and support the student retention initiatives of the Registrar’s Office.

Education/Training

  • Proficiency in Word, Excel, Outlook, and PowerPoint required. 
  • An intermediate level of technical skillset is required with a strong preference for those who have experience with Campus/Nexus or similar experiences with student information systems and reporting software.
  • Bachelor’s degree or equivalent experience.

  • Demonstrated experience in providing technical assistance to one or more supervisors and /or working with internal and external parties to organize the various components needed to initiate, run and conclude major projects.
  • Demonstrated ability to take initiative, set priorities, meet deadlines, follow through on projects and handle a wide range of tasks simultaneously while paying strong attention to detail, maintaining near-perfect accuracy, and upholding confidentiality when needed.
  • Individual must be a self-starter, self-directed, detail-oriented with the ability to multi-task. 
  • Strong interpersonal, organizational, phone and writing skills are required as well as an attitude of serving and putting the customer first.
  • Prefer an individual who has experience in higher education or a desire to grow and develop with a career in higher education.

Typical Physical Demands and Working Conditions

Normal office working conditions including computer usage may require occasional standing, walking, long periods of sitting, climb stairs, balance; stoop, kneel, crouch or crawl.  The employee must occasionally lift and/or move up to 25 pounds.
