Description:

Purpose:  To provide accounting leadership, monthly close, payroll, accounts payable and budget support for Officers’ Christian Fellowship (OCF), its 2 Conference Centers, and field staff. Manage monthly GL close and financial reporting; assist the Chief Financial Officer (CFO) in financial management functions; Supervise the Accounting Specialist; oversee payroll.  Serve as a member of the Home Office team and work towards the mission and vision of OCF in a Christ-honoring, cohesive team.

Subordinate: Accounting Specialist

 

Responsibilities:

This position supervises the Accounting Specialist, works closely with the CFO in overall financial management, reporting, budgeting, accounting, and assists the Director of Human Resources in benefit management.

  1. Accounting and General Ledger:
    1. Month End close: accurate and timely general ledger month end period closings for consolidated OCF, including conference centers
      1. Various General Ledger Journal Entries
      2. Assist and coach Conference Center business managers with dept monthly close, JE, accounting and reporting.
  • Assist Field Staff in department accounting / reporting for ministry activities.
  1. Banking and Investments:
    1. Record monthly Investment Funds activity (endowments) in GL and reviews Performance summary reports. Monitors cash flow
    2. Monthly Bank account reconciliation. Work with Field Staff and Home office staff to reconcile contribution batches and deposits.
  2. Maintain Chart of Accounts and Fixed Assets: Update fixed asset module in Financial Edge software, depreciation, and reconcile to general ledger
  3. Statutory filings – Sales tax, Exempt property, Oversee various State registrations for fundraising.
  1. Supervise Accounts Payable and Accounting Specialist
    1. Supervise Accounting/AP specialist staff and approve weekly check runs and GL coding. Sign checks and approve ACH reimbursements. Review proper coding of invoices and reimbursement requests from OCF staff.  Provide AP backup as needed.
    2. Review Credit Card processing and Journal Entry upload from Accounting Specialist and reconcile Accounts Payable account monthly.
    3. Prepare and send 1099 Forms annually
  2. Manages Payroll
    1. Monthly Payroll function through ADP for exempt and nonexempt employees, including conference center staff (approx 100 employees).
      1. Receive and process payroll information into ADP from OCF Staff.
      2. Employee benefit updates and eligibility calculations; Ensure PTO accrual and usage in ADP. Prepare reports required by the Affordable Care Act.
  • Download ADP payroll data and upload/enter GL software. This includes recording Conference Center subaccount distributions
  1. Calculate monthly Retirement Contributions and assure timely payment of contributions to investment managers
  1. New Hire coordination and payroll orientation: Process payroll and benefit paperwork for onboarding
  2. Annual Functions: Prepare documentation for Annual Worker’s Compensation Audits including conference centers.
  1. Financial Reporting
    1. Monthly budget to actual and subaccount fund reporting for OCF staff from FE software. Maintain reporting in shared folders. Year End GAAP financial statements.
  2. Annual Budget
    1. Update annual department Budget templates, GL history reports; Upload templates into Financial Edge
    2. Assist CFO in overall Budget Preparation and reconciliation
  3. Other
    1. Audit: Primary representative for annual CPA audit. Assist CFO, prepare various lead sheets, audit schedules and reconciliations as needed
    2. Continually improve accounting processes and recommend internal controls as needed. Includes non-profit accounting best practices

 

Required Qualifications/Skills:

The Assistant Director of Finance/ Accounting Manager position requires a proactive, detail-oriented individual who can multitask and oversee staff; keeping the GL organized and monthly close on time.  Must work well with the CFO, OCF Home Office staff, Directors, Field Staff, and Conference Center Staff.  Establish a professional and friendly relationship displaying self-confidence, humility, diplomacy, wisdom, combined with the highest integrity and professional standards.

 

  • Required Qualifications:
    • Bachelor’s Degree: A degree in the finance or accounting field and/or a combination of at 3-5 years of experience in accounting
  • Preferred Experience
    • Experience in a non-profit organization or with non-profit accounting.
    • Experience supervising staff
    • Familiarity with accounting software Blackbaud Financial Edge and/or Raisers Edge software
    • Proficiency in Microsoft Office applications – especially Excel.
  • Ability to plan ahead, manage deadlines, and maintain/establish systems enabling OCF to operate smoothly and effectively.
  • Ability to handle a high volume of work, rapidly adapt to changing environment and possess strong work ethics.

 

 

Working Conditions:

This position is a hybrid role with part time work from home and part time at the OCF Home Office (Colorado Springs). It is a full-time, benefit eligible, exempt salaried position.  Working hours will generally be between 8:00am to 5:00pm.  Must be able to handle mid-level stress. Requires sitting for long periods of time.  Requires regular use of stairs.  Requires reaching continually throughout the workday (mouse, keyboard, telephone).  Presentation of Bible Study Material required occasionally.  Travel is rarely required.
