Administrative Assistant – Database Management

Salary/Range: $19/hour to $21/hour, based on experience
Greenwood Village, CO


Database Management, including duties such as:

o   Facilitate ministry activities in myGreenwood (Greenwood Community Church’s database system) with ongoing education to enhance ministry tools

o   Assist with mass mailings as needed throughout the year

o   Maintain documentation on baptisms (adult and child)

o   Manage updates to myGreenwood (editing profiles, group rosters, etc.)

o   Build forms in myGreenwood for use community-wide

o   Oversight of prayer request processing

o   Assist Director of Operations in training and rollout of myGreenwood with the congregation and assist with onboarding new employees within the system

o   Assist Director of Operations in developing and maintaining policies and procedures for use of myGreenwood

o   Process and distribute year-end giving reports

o   Quarterly Clean-up, including duties such as:

o   Provide data for membership and attendance to Lead Pastor; update database information based on session approvals

o   Review attendees with the “guest” designation and update membership status as needed

o   Review group lists with department leads to assist with communication needs

o   Update notes in profiles for historical documentation purposes

Front Desk and Operations Support, including duties such as:

o   Receive incoming mail, distributing as appropriate, and assist with outgoing mailings

o   Process office supply orders

o   Assist with walk-in visitors

o   Review and follow up on voicemails

o   Maintain filing of items such as invoices

o   Process catering orders for various functions and events

o   Provide technical assistance as needed for congregation and staff members

Training, including duties such as:

o   Training staff on uses of the database and uses within their area of responsibility or ministry (groups, volunteer schedules, process queues, check-in, etc.)

o   Training volunteer teams who may utilize the database intermittently

Other duties, including but not limited to:

o   Serve as the onsite expert for the copiers and coordinating service calls as needed

o   Assist Director of Communications in updating communication posters throughout the building

o   Help support hospitality focus by maintaining office, reception and kitchen areas

o   Occasional support may be requested for church-sponsored events on days outside of the typical work schedule for this position

o   Other related duties as assigned by Direct Report and/or member of administration

o   Support values of the organization through a focus on Competency, Character, Chemistry and Culture

Required Skills/Abilities:

o   Strong computer skills to include Microsoft Office suite, especially Excel

o   Strong interpersonal and communication skills

o   Detail oriented with ability to multi-task

o   Ability to effectively interact with various teams and individuals


o   Database management experience

o   Minimum 3 years’ experience on an administrative team

Physical Requirements:

o   May be required to lift up to 15 lbs on occasion
