Administrative Assistant, full-time and in-office
We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks for a fast-paced office environment. The successful candidate will be a master multi-tasker with excellent communication skills, have a professional and upbeat attitude, and always be prepared and responsive to meet each challenge directly.
Responsibilities of the Administrative Assistant include, among other things, providing support to our managers and staff, assisting in daily office needs and managing our general administrative activities.
o Pick up and sort mail from multiple P.O. Boxes; prepare and drop off outgoing mail.
o Ensure that items requiring timely mailing are sent with requisite proof.
o Assist office staff with correspondence and mailing through various shipping methods.
o Maintain Outlook Contacts database and assist with Outlook calendar scheduling as requested.
o Track and renew various subscriptions and memberships.
o Assist with intercompany expense tracking and reimbursements.
o Order and maintain office supplies.
o Assist with annual insurance renewals as requested.
o Assist in preparing and processing bank deposits.
o Scan or download and electronically file all monthly and quarterly financial/investment
o Assist office with any research needed or help with special projects.
o Scan and electronically file various office documents.
o Create and organize office files.
o Assist with converting dated physical files to electronic files.
o Enter data into and maintain various tracking spreadsheets.
o Perform other administrative tasks as assigned.
EDUCATION, SKILLS, AND WORKING STYLE

Educational and Skills Requirements
o A high school diploma, GED or associate degree and a minimum of two plus years of administrative
experience or equivalent combination of education and experience.
o Demonstrated experience in maintaining the confidentiality, safety, security, and privacy of the
o Excellent written and verbal communication skills.
o High level of accuracy, attention to detail, and follow-through.
o Excellent time-management, prioritization, and general organization skills.
o Fast learner with the ability to easily grasp and understand new concepts.
o Excellent computer skills and a demonstratable proficiency in Microsoft Office Suite including
Outlook (calendar and email), Word, and Excel, as well as Adobe Acrobat.
o Knowledge of office management systems and procedures.
o Candidates must successfully complete a background investigation, employer provided assessments
and drug screen.
