Administrative Assistant to the Vice President of Finance
GENERAL STATEMENT OF JOB FUNCTION:
Oversees and coordinates administrative functions of the office of the Vice President of Finance and the Campus Operations Group (COG), providing effective and efficient support. Organizes, coordinates and implements varied special projects for the Campus Operations Group. Also functions as a key coordinator in the implementation of various departmental/group meetings and activities.
ESSENTIAL FUNCTIONS:
- Organizes and manages the office of the Vice President, such as answering and directing phone calls and emails; hosting guests of the Vice President; processing mail, check requests, reimbursement requests, credit card reporting; and managing the calendar of the Vice President.
- Performs duties assigned in conjunction with meetings of the seminary’s board of trustees, including but not limited to, scheduling and coordination of finance and investment committee meetings, compilation and delivery of presentations and reports, and taking minutes for the committee meetings.
- Oversees various special projects for the COG and the Seminary administration to include intranet site (Share Point) development, monthly newsletter creation, operational process redesign, policy development.
- Oversees the deployment of Seminary policies and forms. Maintains the Seminary’s intranet site(s) containing deployed policies and forms. Processes requests for posting of new policies or forms.
- Arranges and coordinates the travel arrangements of the Vice President.
- Performs administrative tasks in support of the Vice President, such as information and document processing, maintaining filing systems, record keeping, and managing correspondence.
- Maintains regular contact when the Vice President is off campus or traveling, keeping him/her updated regarding pertinent information.
- Interfaces with Directors of the various COG departments, including accounting, finance, physical campus operations, human resources/general administration and information technology regarding the implementation of operations or special projects for the VP.
- Oversees deployment of COG surveys of all types. Ensures consistent and timely deployment of annual faculty and staff service survey and semi-annual student surveys. Collates and prepares summary reports on survey responses.
- Compiles research data for projects and reports.
- Coordinates meetings and special events for the Finance department.
- May serve on committees or task forces as assigned by the Vice President.
EDUCATION/ TRAINING/SKILLS:
- Experience providing administrative support at an executive level
- Ability to communicate effectively in written and oral form, including the documentation of project progress and processes, is essential
- Highly developed interpersonal communication and collaboration skills
- Ability and commitment to discern and maintain confidentiality
- Knowledge of office protocols and common business and administrative procedures
- College degree preferred
- Experience in supporting and developing operational systems and processes preferred
- A strong working knowledge of Microsoft Office Suite, Microsoft SharePoint, Adobe Acrobat

- Ability to manage projects, coordinating personnel, research and resources to accomplish defined outcomes
- Ability to creatively redesign administrative processes and procedures for optimal efficiency and effectiveness
- Ability to relate well to diverse audiences, synthesize administrative and operational details and envision desired outcomes of complex processes
- A team player that can build consensus for optimal team performance
- Able to give careful attention to administrative details and confidentiality concerns
- Ability to manage and complete varied tasks with minimal supervision

TYPICAL PHYSICAL DEMANDS AND WORKING CONDITIONS:
Normal office working conditions including computer usage may require occasional standing, walking, long periods of sitting, climb stairs, balance; stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds.
