Job Summary:

The Administrative Services Manager (ASM) serves as a member of Local Station Operations and reports directly to the Station Manager for their region. This position provides administrative support to the Local Manager and to the station for other station initiatives.  It also provides accurate reporting and record keeping of business accounts and ensures that the office functions within the guidelines set by the Local Manager and the Employee Handbook.

Essential Functions
Administrative

·         Administrative Assistant to the Local Manager including preparing reports and documents, database needs and reports, client, key-supporter, and donor communication as needed, arranging travel and other station accommodations and other administrative tasks as needed.

·         Provide administrative assistance to the Local Manger in the preparation of marketing and sales proposals, broadcast orders, production orders and follow-up letters to prospects and Business Impact Partners as needed.

·         Serve as “Traffic Director” and oversee the Natural Log software ensuring accuracy on data entry input and adjustments of broadcast schedules, generating, and reconciling a daily commercial log, accurate input of payment information, invoicing and reconciliation, aged receivables and financial reporting for the Local Manager and corporate office.

·         Facilitates Financial and Donor Related policies issued by corporate office including internal controls, separation of duties, donation handling and processing and maintenance of station post office box.

·         Maintain stock of office supplies, letterhead and envelope inventory, sales media kits and one-sheets, brochures and other printed materials as needed by station ensuring that all purchases have Local Manager approval and are kept within monthly budgetary limits.

·         Other duties as assigned

Event Support

  • Provide assistance with content for the station(s) website, social media sites, e-blasts and other digital media initiatives as needed. Assist with answering listener inquiries through e-mails, social media sites and website per company guidelines.
  • Provide assistance with the implementation of properly targeted, strategic and effective promotions, on-air contesting an effective community outreaches that meet local needs and allow WayFM listeners to Live (it) Out to ensure proper community involvement in markets station(s) serve.
  • Provide assistance to maintain and accurate database of volunteers for station including assisting with recruitment of new volunteers and scheduling of current volunteers for Live (it) Out initiatives, station concerts and events and other office needs.
  • Gather, organize, and maintain media resources (Audio, Photo, and Video) to support station and corporate office marketing and brand image. Oversee Collection of station hews for the station section of the WayFM Newsletter.
  • Appearances as needed at station events including friendly interaction with listeners
  • Participate as a member of the team and help complete other projects as assigned
  • Provides assistance with station concerts and other special events as needed
  • Assist with execution of Support Drive on-air fundraisers as needed

Position requires willingness to work a flexible schedule when necessary. This may include longer hours during on-air support drives or at concerts or events as needed on weekends or holidays
