Position Summary:
This Department Head leadership position oversees daily operations and finances of the organization working closely with all other Department Heads and Executive Director. |
Supervisory Responsibilities:
Administration Team Department Head. Responsible for direct supervision of the Office Manager and Human Resources Coordinator. |
Education/Experience Requirements:
- Bachelor’s Degree
- Experience in accounting, finance, business administration/management in the corporate and/or nonprofit sector.
- Demonstrated ability to create and manage budgets.
- Ability to create, manage and communicate organizational data and KPIs.
- Multi-task to prioritize organizational, financial and business needs.
- Experience with QuickBooks Online software.
- Understanding of financial reporting and tax documents.
- Experience with Microsoft 365 platforms for business
- Working knowledge of organizational information technology.
Preferred:
- Educational background in finance and/or technology.
- Project Management a plus.
- Facilities and equipment management experience.

Essential Duties and Responsibilities:
Operational & Financial Management
- Manage financials for deposits and expenses for organization.
- Oversee organizational purchases.
- Assist Executive Director with preparation of annual budget and annual salary outlook.
- Coordinate with accounting firm to prepare financial reports.
- Responsible for accounts payable.
- Assist Executive Director with financial reporting needs for board meetings.
- Assist accounting firm with monthly reporting.
- Provide requested financial documentation for annual audit.
- Monthly reconciliation of Quickbooks to donor database system.
- Monthly reconciliation of credit card expense statements.
- Process bi-weekly payroll and expense reports.
- Oversight of HR processes and employee benefits including healthcare, workers compensation, etc.
- Provide business analytics and solution-based processes to maximize facility and labor productivity with department heads and office/clinic staff.
- Provides overarching facilities management of all clinic locations and associated leases.
Administration:
- Provides strategic, managerial, and logistical support for facilities operations.
- Manage and track service agreements for office equipment and ultrasound equipment.
- Manage and track office/clinic lease agreement for renewal or termination.
- Manage and negotiate vendor agreements within scope of work.
- Oversight of confidential maintenance of Human Resources Department.
Technology
- Manage vendor relationships related to technology.
- Provide overarching management of technology matters.
- Manage technology life cycle for the organization with IT services company.
General Requirements:

- Successful completion of Colorado background check.
- Attend Alternatives’ Foundations trainings, Alternatives Approach training and department trainings.
- Attend all staff and department meetings, staff retreats and other conferences as approved and directed by supervisor or Executive Director.
- Attend all fundraising events.
