Organization Background

Since 2011, Dream Centers, a faith-based nonprofit, has provided health and hope to those rebuilding their dreams. The Dream Centers include a Women’s Clinic where we offer medical care, professional counseling, and a suite of wrap-around services. Our 2nd program, Mary’s Home, is multi-year where we offer trauma-informed care, life-skills training, education, job development and positive role modeling in a high-challenge, high-support program for single-mother families experiencing homelessness. This holistic approach helps heal the hurting from the inside out so they can rebuild their dreams and exit homelessness permanently.

Position Purpose

To support the CEO by keeping him and his schedule focused on building a network, relationships, donor work, and production and communication of key content. To manage communications in confidence. To represent the CEO in all communications with team, partners, and stakeholders. To oversee and manage administrative support for the CEO. Seeking a self-starter, adaptable, articulate, and highly motivated professional with four years of nonprofit experience who will perform a variety of duties and projects including but not limited to: scheduling and planning events, coordinating activities of staff, facilitating the operations and logistics of daily DC employee activities, and generally to serve the CEO and staff by providing administrative and logistics support of Dream Centers.

Primary Duties and Responsibilities:

• Accurately represent the CEO in all interactions and communications

• Relentlessly keep the CEO’s schedule focused on building network; relationships; donor ministry; and communication of vision & mission

• Strategically manage CEO’s time, schedule, meeting preparation and follow up: reviewing upcoming meetings for the week to ensure the leader has all of the information needed to be as productive as possible and sending out agendas or documents to meeting attendees as necessary

• Manage CEO’s email and monitor information flow: acting as a gatekeeper for CEO, ensuring his involvement in a project or decision-making process at the right moment

• Assist the CEO with Major Donor Development and communications

• Maintain regular correspondence with key community partners

• Support the CEO in team accountability

• Work in close association with the entire staff to build and maintain a strong team environment among our staff

• Manage the meeting cadence for the Board of Directors and Executive Team, ensuring materials are sent in advance, time is well spent, and objectives are achieved

• Review and edit DC publications, newsletters, etc. in place of the CEO as needed

• Assist CEO and COO in executing administrative activities that support the vision of the Dream Centers

• Coordinate communication to the leadership team and staff

• Plan and spearhead All-Staff meetings in coordination with CEO

• Coordinate with CEO and COO to schedule and manage staff training, (continuing education) offsites, and provide resources

• Plan and coordinate staff and board retreats

• Oversee staff appreciation to appropriately celebrate organizational wins and personal milestones

• Coordinate and implement (or retire when necessary) use of systems and tools to create efficiencies for staff and to facilitate growth

• Oversee appropriate purchases, payments, and reimbursements to contractors, staff and services

• Manage office resources to help facilitate completion of tasks

• See to the completion of any additional administrative tasks to support the CEO and the staff

• Willing to travel if the need arises (travel is rare with this position)
