Executive Assistant to CEO

Salary/Range: $80,000 +

This is an ideal opportunity for an individual with superior administrative, communication, organizational, and technology skills to support a team of top professionals in a leading marketing organization. The key responsibility will be to provide executive-level administrative support to Founder and CEO Karlan Tucker.

What You Will Be Expected To Do:

  • Provide professional administrative support, ensuring effective communication and confidentiality are always maintained with internal and external clients
  • Complete a broad variety of administrative tasks including managing active calendar appointments, processing expense reports, writing checks, composing and preparing correspondence that is sometimes confidential
  • Perform HR responsibilities including but not limited to: processing payroll, onboarding new employees, tracking PTO and benefits eligibility
  • Spearhead event planning such as the annual Chairman’s Council
  • Arrange detailed travel plans, itineraries, and agendas and compile documents for travel-related meetings
  • Prioritize conflicting needs, handle matters expeditiously, and proactively follows through on projects to successful completion
  • Handle mail/communication in alignment with the CEO; full calendar and mail administration authority
  • Leverage technology to create efficiencies through automation and process improvement
  • Provide personal assistance to CEO in areas including other business ventures and community involvement commitments
  • Participate in 1-2 international rewards trips annually/current passport required

What We Are Looking For:

  • 5+ years executive level administrative experience; insurance/financial services experience a plus
  • Outstanding organizational and time management skills with meticulous attention to detail
  • Comfortable and confident working with numbers such as payroll, accounts payable etc.
  • Exceptional written and verbal communication skills including the ability to review, compose, edit, and interpret reports, business correspondence, etc.
  • Strong proofreading and grammatical skills are a plus
  • Proactive demeanor, strong initiative, honesty, and unwavering integrity and confidentiality
  • Commitment to the highest level of professionalism at all times
  • Computer proficiency/advanced knowledge of Microsoft Office products, specifically Word, Excel and PowerPoint (a plus)

In addition, the selected candidate must present themselves in a neat and professional manner and be articulate with the ability to multi-task and work in a fast-paced, team-oriented environment.
