Gift Records Administrator

This position offices in-person, at our business office.


The role of the Gift Records Administrator will work closely with the Finance and Advancement  teams and may partner with other members of the school’s leadership team as needed throughout the year to ensure all donors are honored and valued for their contributions. This position will be responsible for the accurate and timely entry of gifts into the donor management database and be responsible for overseeing the online giving platform. This individual will also be expected to produce and distribute key reports from both systems on a regular basis.


This role is ideal for the individual who recognizes, appreciates and understands the importance of philanthropic giving as a vital component to an independent school’s ability to achieve success and advance its vision and mission. The individual must be someone who is willing to work hard, and has strong verbal and written communication skills and who is also extremely efficient and detail-oriented, able to work independently while managing numerous competing priorities, and be comfortable learning and effectively using new software systems with an eye to constantly seek process improvements.

Gift Receipt Entry:

  • Accurately create and manage the school’s campaigns, funds and appeals in the donor database
  • Support the gift receipt process by timely entering all gifts received either via check or credit card into the donor management database
  • Administer all elements of the school’s online giving platforms and become an expert user of the systems
  • Record all pledges received in the donor management database and oversee and execute the established pledge monitoring and reminder process

 Research and Reporting:

  • Create and send weekly giving reports to the Head of School, Director of Finance and Operations and Advancement team as well as respective pillar leaders
  • Send monthly giving summary reports to the Head of School, Director of Finance and Operations and Director of Advancement
  • Create and send monthly giving reports for year-to-date fundraising totals for each pillar and provide data on current parent, grandparent and alumni giving
  • Research and report on information contained in the donor database on giving levels, giving histories and gift designations
  • Create giving reports based on donor type, giving by grade, and other custom reports as needed
  • Support the Advancement team as requested through continued data collection efforts to further refine new prospect lists and identify major donors

 Donor Recognition:

  • Faithfully execute the structure and guidelines of the established gift acknowledgement and receipting process
  • In collaboration with the Director of Business Services, ensure all gift acknowledgement letters and tax receipts are in full compliance with IRS guidelines regarding the handling of goods, services and other benefits
  • Annually prepare and distribute year-end tax receipts to all donors

 Accounting Support:

  • Prepare donation accounting batches ready for posting to the GL
  • Reconcile fund summary reports in the development database to the GL
  • Post payroll contributions in development database
  • Assist and provide general accounting support as requested

 General Support: 

  • Assist and support donor-related events as requested
  • Manage Business Office supplies and room scheduling

All team members with fundraising responsibilities will feel strongly supported and fully informed. Valor will achieve its annual fundraising goals thereby being able to further invest in programs, enhance the campus and explore new strategic initiatives aligned with the vision and mission of the school.


  • Bachelor’s degree in Business or related field
  • Prior experience working with a development or advancement office, preferred
  • Strong technology skills including MS Office, Google and database management functions such as importing and exporting
  • Excellent customer service skills
  • Ability to problem solve, think critically and propose creative solutions
  • Exceptional skills working collaboratively with members of other departments and teams to ensure the timely sharing of information and the reduction of data and information silos

POSITION TYPE:  C: Year-round schedule. 12-Month Calendar This position offices in-person, at our business office.

HOURS PER WEEK: Full-Time or Part-Time, Non-Exempt

SALARY RANGE: $20.00-$23.00 hr
