Position Summary

The Office Manager is an integral part of the administration team and serves as the initial point of contact for current and prospective families, visitors, students, and staff. This person is responsible for the successful day-to-day operations of the office. In addition to answering the phones, monitoring the door, and assisting students, the office manager oversees the administrative functions of the office including maintaining student and staff records, ensuring adequate office supplies, and coordinating communications with family and students.  Core responsibilities also include detailed bookkeeping and financial tracking which includes monthly financial reports, monitoring tuition accounts, preparing and completing bank deposits, and paying invoices after approval.


Office Manager Responsibilities

  • Prepare monthly payroll for up to 25 employees
  • Maintain records of all donations
  • Maintain accounts payable and accounts receivable in QuickBooks
  • Reconcile bank and general ledger account in QuickBooks
  • Manage PayPal
  • Manage FACTS Management account for school, including assisting families
  • Manage petty cash and reconcile monthly
  • Provide paperwork/onboarding for new employees
  • Create new student application files, maintain records of payment, and follow-up until admissions decisions are made/finalized
  • Maintain student and staff files and records in QuickSchools
  • Create and disseminate the weekly newsletter
  • Keep attendance records and follow-up with students who are absent and communicate with parents when students are ill
  • Oversee the tracking of parent & student volunteer hours, in conjunction with parent volunteer
  • Oversee daily family communication through student folders
  • Answer telephone calls and emails
  • Ensure the efficient functioning of the office by monitoring office supplies and ordering as needed
  • Other duties as needed


Knowledge, Skills, and Abilities

  • 3-5 years of accounting/bookkeeping experience
  • Proficient with MS Excel and Google Sheets
  • Solid working knowledge of QuickBooks Online
  • Outstanding attention to detail and commitment to quality
  • Excellent interpersonal skills, including verbal, written and organizational skills
  • An understanding and attitude of customer service; ability to be very flexible and adapt to change
  • Must be able to manage time well, particularly while managing competing priorities
  • Willingness to take initiative, keep a positive attitude, and maintain a professional demeanor.
  • Adept at problem-solving, critical thinking, and using judgment in situations that that require sensitivity and tact.


Required Personal Qualities

  • Evidence of a mature Christian faith consistent with Rock Solid Christian Academy’s Statement of Faith
  • Ability to exercise discretion and maintain the strictest confidentiality
  • Understanding of and appreciation for Christian education and working in a Christian environment



This is a part-time position at 30-32 hours per week at the school.  Salary: $22 per hour.  Candidates must be able to pass a background check.
