IDEAS is a non-profit aid and development organization serving marginalized and overlooked communities in about 15 countries of North Africa, the Middle East, Latin America, and Asia. We are a small organization with about 100 deployed personnel and a half dozen staff at our office headquarters in Littleton, Colorado.

About the Job

Your work will help to support the Operations functions at IDEAS home office, contributing to the Corporate and Finance departments. Through these responsibilities you will be instrumental in developing a more robust Operations department overall. Your work will contribute directly to the stability and growing impact of IDEAS work – seeing transformed lives in communities of contagious hope. You will be accountable to the Director of Growth and Development and work regularly with the President, Treasurer, and Operations staff members to fulfill your responsibilities.

The following key responsibility areas are often periodic and irregular in timing and priority. Regular management meetings with IDEAS staff will ensure tasks are clearly identified and prioritized for effective part-time work.

1. Global Operations

  • Administrative task and project management assistance.
  • Update and maintain CRM system structure, data, and reports for IDEAS projects and personnel.
  • Create and distribute weekly travel reports to the crisis team.
  • Scan and file crisis documents.
  • Assist VP of Finance with bookkeeping and donor receipts.
  • 25% of time devoted to donor gift entry/maintenance.

2. Marketing & Communications

  • Assist with weekly marketing materials to communicate IDEAS mission, impact and opportunities.
  • Manage, schedule, publish, and email IDEAS blogs and newsletters.
  • Assist with creating monthly community newsletters.
  • Update website and IDEAS One-Stop-Shop as needed.

3. Recruiting

  • Track applicants through recruiting and placement processes by updating and maintaining CRM data and cuing staff on next steps or problem solving as needed.
  • Facilitate moving new personnel through on-boarding procedure from beginning to end through manual and automated processes, potentially including providing onboarding materials and receiving feed-back.
  • Create and send recruiting materials to Associates, universities, and churches.
  • Conduct background checks for new applicants.
  • Assist team in Orientation and onboarding of new Associates.
  • Assist team in deploying short-term teams, study-abroads, and vision trips.

4. Development

  • Assist with coordinating and mailing end-of-year giving campaign.
  • Write and mail thank-you letters to donors.
  • Update donor records in database.
  • Research and create supplemental resources to support Development Department.

5. Administrative

  • Manage general administrative tasks.
  • Represent IDEAS by answering phone calls and welcoming guests.
  • Plan and organize Board, Orientation, and special lunch and dinner events.
  • Assist President as needed.
  • Assist Project Operations Director and Community Life Director as needed.
  • Update email list.
  • Manage email account.
  • Create Google forms and evaluations.


  • Attention to detail is required.
  • Self-starter with efficient organizational skills.
  • Highly motivated multi-tasker who works well in a team.
  • Excellent writing skills.
  • Experience with Mailchimp, Canva, Google Forms, and CRM databases.
  • Comfortable in phone interactions with IDEAS applicants, personnel, and donors to easily and quickly understand their needs and respond appropriately.
  • Interested to learn IDEAS niche in God’s purposes, appreciating our values and methodology in the greater mission of God.
  • Intent to grow in skills and contribution to IDEAS, adding growing value to IDEAS community.
  • Comfortable with change, adjusting easily and productively.
  • Flexibility and ability to pivot priorities as needed.
  • Demonstrating skills to efficiently work with Data Management tools, Microsoft Office Suite, and other internal support systems.
  • Graphic design and IT skills highly appreciated.
  • Bookkeeping and donor receipting highly appreciated.
  • International travel/experience a plus.
  • College degree and proven experience in a similar position required.
