General Statement of Job Function
The Administrative Assistant to the School Deans provides administrative and operational support to the Deans of the School of Theology and the School of Counseling. The role manages calendars, travel, and appointments and serves as the primary point of contact for students, faculty, and staff in both offices. The position supports both schools through meeting and event coordination, faculty support, budget administration, and coordination with the Registrar and Academic Affairs, while also carrying responsibilities specific to the School of Counseling. The Administrative Assistant handles sensitive and confidential information with discretion.
Essential Functions
Shared Across Both Schools
- Manages calendars, travel, and appointments for both Deans and serves as the primary point of contact for students, faculty, and staff by screening incoming phone calls, physical mail, and visitors. This role does not manage or draft email correspondence on behalf of either Dean.
- Coordinates meetings and events for both schools, including preparing agendas, taking minutes, tracking follow-up action items, and handling logistics for program orientations, graduation events, and faculty retreats.
- Provides administrative support to faculty and affiliate faculty, formerly referred to as adjunct faculty, including assisting with course resources such as desk-copy orders and collecting and routing course evaluations to the relevant Program Director and Dean. For the School of Counseling, this work is completed in conjunction with the School of Counseling Administrator.
- Coordinates with Academic Affairs on affiliate faculty appointments, onboarding, and evaluation scheduling.
- Assists the Deans and the Registrar with the annual course schedule and completes faculty and course change forms with the Registrar’s Office as needed. Teaching loads and course releases are approved by the relevant Dean, and faculty staffing is approved by the relevant Program Director in the School of Counseling or the School of Theology.
- Handles budgetary tasks for both offices, including submitting receipts, processing reimbursement requests, and arranging honoraria.
- Collects and tracks thesis, dissertation, and major-project forms, including DMin project and MA thesis forms, for both schools. For the School of Counseling, this work is coordinated with the School of Counseling Administrator.
- Maintains records, files, and databases for both Deans’ offices.
- Partners with Academic Affairs, the Executive Assistant to the Provost, and the School of Counseling Administrator, for School of Counseling matters, to support the Deans’ broader work and initiatives as needs arise.
Secondary Functions
- Cooperates with internal investigations, including Title IX and workplace matters, and with applicable administrative, licensing, or court proceedings.
- Performs other duties as assigned in support of the schools and Academic Affairs.
Education/Training
- Bachelor’s degree or an equivalent combination of education and administrative experience.
- Demonstrated experience providing executive-level administrative support, ideally in a higher education or nonprofit setting.
- Strong proficiency with office technology and software, including Microsoft Office and student information or registrar systems.
Qualifications

- Agreement with Denver Seminary’s Statement of Faith.
- Strong organizational skills and the ability to manage competing priorities across two offices.
- Discretion in handling confidential faculty, student, and institutional information.
- Exceptional interpersonal, written, and verbal communication skills.
- A self-motivated, collaborative approach, commitment to excellence, and ability to take initiative with minimal direction.
- Familiarity with theological education or graduate counseling education preferred.
- Experience supporting multiple supervisors or offices simultaneously preferred.

Typical Physical Demands and Working Conditions
Normal office working conditions include computer usage, typing, answering phones, occasional standing, walking, long periods of sitting, climbing stairs, balancing, stooping, kneeling, crouching, or crawling. The employee must occasionally lift and/or move up to 25 pounds.
