General Statement of Job Function
The Associate Director of Enrollment, Operations creates and manages the systems, databases, processes, and communications that support a seamless admissions and enrollment experience for Denver Seminary students. As the administrator of the Seminary’s Slate CRM platform, this role manages configuration, maintenance, optimization, workflows, application rounds, forms, portals, communication flows, reporting, and integrations that support recruitment, admissions, application review, and enrollment management operations.
This position is responsible for data integrity, reliable and compliant admissions processes, recurring recruitment-cycle transitions, enrollment communications, and ongoing Slate training and support for admissions staff. The Associate Director supervises the Admissions Enrollment Coordinator and Admissions Work Study Students, manages assigned Admissions operational resources, and supports the Director of Admissions as needed.
Essential Functions
- Admissions Operations—directs and manages admissions systems, processes, documents, and records from inquiry through matriculation, including admissions decision letters, next-steps materials, related email content, and student file transitions.
- Student Transition and Follow-Up—follows up with conditionally accepted students regarding conditional agreements; provides related reports to Enrollment Advisors and Admissions Counselors; assigns incoming students to Student Success Advisors; and supports semester handoffs.
- Enrollment Data and Reporting—develops and manages registration and retention tracking, including weekly, monthly, ad hoc, and year-over-year funnel reporting; oversee SIS reporting, enrollment status updates, file matriculation, operational evaluation, and support-ticket submissions.
- Slate CRM Administration—serves as administrator for Slate, managing structure, rules, permissions, upgrades, forms, application rounds, checklists, reader/review functions, events, portals, queries, dashboards, and integrations with the SIS and other campus systems.
- Training and System Improvement—plans and leads Slate/CRM training, create training documentation, and develop new applications, processes, and product features to improve system fluency and functionality across offices.
- Recruitment Operations—leads strategic planning of the recruitment calendar for Enrollment Advisors and Admissions Counselors and collaborates on recruiting events and travel, ensuring activities are appropriately maintained in Slate.
- Admissions Communication Strategy—manages the annual communication strategy for Admissions, including templates, campaigns, copy, email and SMS communications, acceptance communications, and continuing-student messaging that supports enrollment and course registration.
- Cross-Campus Collaboration and File Review—represents Admissions in cross-campus collaborations and committees; during evaluation-heavy periods, reviews student files before Registrar handoff and monitors enrollment and candidate-status logs.
- Policies, Procedures, and Student Experience—maintains and improves admissions policies and procedures to support compliance, efficiency, clarity, and a student-centered experience; manages admissions and advising website content and collaborates with the Director of Admissions on streamlined processes from matriculation through graduation.
- Supervision, Budget, and Leadership Support—supervises the Admissions Enrollment Coordinator and administrative work-study personnel; manages the technology, print, and mailing budget for Admissions; supports data-management projects and other department priorities; and serves as Acting Director of Admissions in the Director’s absence.
Education/Training
- Bachelor’s degree required.
- Proven experience managing higher education student information systems (SIS) and CRM technology systems.
- Experience administering Slate CRM strongly preferred; experience with other CRM or database platforms will be considered.
- Work experience in Admissions or Enrollment at a higher education institution is highly preferred.
- Advanced working knowledge of Microsoft Office applications, particularly Word and Excel.
- Strong written and verbal communication skills, including the ability to proofread outgoing communications for spelling, style, grammar, and accuracy.
- Working knowledge of office protocols, administrative procedures, confidentiality requirements, and data stewardship practices.

- Strong technological aptitude and ability to work effectively across system platforms and admissions user interfaces.
- Demonstrated ability to analyze data, identify recurring issues, and develop practical process or system solutions.
- Experience managing enrollment strategies, metrics, and operational reporting.
- Experience supervising staff and/or student workers, including training and performance guidance.
- Ability to manage a complex and diverse workload, prioritize competing demands, and maintain accuracy through frequent interruptions.
- High level of organization, initiative, attention to detail, and commitment to excellent service.
- Ability to evaluate and improve current processes and policies for efficiency, clarity, consistency, and compliance.
- Ability to maintain confidentiality and exercise sound judgment with student and institutional information.

Typical Physical Demands and Working Conditions
Normal office working conditions, including computer usage, may require occasional standing, walking, long periods of sitting, climbing stairs, balancing, stooping, kneeling, crouching, or crawling. The employee must occasionally lift and/or move up to 25 pounds.
