General Statement of Job Function

The Customer Support Specialist (Student Accounts) supports Denver Seminary’s financial operations by delivering high-quality customer service and maintaining accurate student accounts receivable activity. This role is responsible for processing and posting payments, managing cash drawer activity with a high level of accuracy, administering student payment plans and weekly billing, verifying financial aid/loan postings, and assisting with delinquent account follow-up. The Specialist partners with Financial Aid, Accounts Payable, and internal stakeholders to resolve account questions, ensure students are financially cleared for upcoming terms, and maintain compliance with internal controls, FERPA, and applicable regulations.

Essential Functions

  • Customer Service – Shows compassion, integrity, and resolve while addressing the concerns of students and internal stakeholders.
  • Accounts Receivable— Processes check and apply receipts to student accounts, analyze student accounts for accuracy, and processes account inquiries and adjustments.
    • Manages student payment plans. Verifies of correct amounts are posted to accounts before students are billed. Runs the weekly student billing process and participates in delinquent account collections as needed.
    • Ensure that all students registered for the upcoming semester have either paid, established a payment plan or have financial aid sufficient to cover their charges.
    • Assists with compiling and preparing 1098-T forms. 
  • Maintenance of Cash Drawer—processes cash receipts, reports daily cash income, and disburses petty cash in accordance with school policy. 
  • Reviews Student Financial Aid and Government Loans—verifies financial aid is posted to students’ accounts and works with Accounts Payable for student stipends and refund checks.
  • General Office Duties—collaborate across departments to support financial operations and special projects.

Education/Training

  • High School Diploma or GED required.
  • Minimum two (2) years of experience in customer service, accounts receivable, cashiering, billing, or accounting-related work.

Knowledge, Skills, & Abilities

  • Proficiency with computer operations, data entry, and Microsoft Office—especially Excel.
  • Strong attention to detail, accuracy, and consistency in following policies and procedures.
  • Ability to communicate clearly and professionally in person, by phone, and in writing.
  • Ability to manage multiple priorities, meet deadlines, and remain composed under pressure.
  • Ability to handle confidential information with integrity and discretion.
  • Ability to work effectively as part of a team and build cooperative relationships across campus.

Preferred Qualifications

  • Experience with student billing systems and/or customer billing software.
  • Prior experience in cashiering, payment posting, reconciliations, and/or accounts receivable.
  • Familiarity with FERPA or experience working in higher education (preferred).

Outcomes

  • Ensuring students feel supported and can access the appropriate level of information about their accounts.  This will be measured by periodic surveys and supervisor feedback.
  • Processing cash accurately, and in a timely manner, while following seminary guidelines.
  • Making student account entries and adjustments accurately and in a timely manner.
  • Ensuring compliance with internal policies and government regulations including FERPA.
  • Communicating and cooperating with other departments proactively and professionally.

Typical Physical Demands and Working Conditions

Normal office working conditions, including computer usage, may require occasional standing, walking, long periods of sitting, climbing stairs, balancing, stooping, kneeling, crouching, or crawling.  The employee must occasionally lift and/or move up to 25 pounds.
