General Statement of Duties

The Enrollment Coordinator serves as the first point of contact for prospective students interested in visiting Denver Seminary and facilitates the campus visit experience from initial inquiry through completion, and maintains a professional, welcoming front office for the Enrollment and Student Success team. As a core member of the Admissions team, the Enrollment Coordinator’s primary responsibility is to provide excellent service by delivering customized visit experiences and administrative and office support for the Admissions department and the division of ESS-Enrollment and Student Success (ESS).

This person must be hospitable, organized, self-directed, and passionate about Denver Seminary. They must be able to handle regular interruptions while still accomplishing tasks, manage time-sensitive projects with minimal oversight, and possess a proactive customer-service approach in all interactions.

Essential Functions

  • Coordinates all prospective student visits by facilitating individual and group campus visit experiences from initial inquiry to the completion of the visit experience. Manages all logistical details, creates the agenda, coordinates appointments, organizes room scheduling and setup, orders food and supplies, communicates event information with prospective students, and manages event follow-up.   
  • Coordinates with faculty and other seminary staff to arrange appointments as requested by visiting prospective students.
  • Facilitates the welcome and hand-off of visitors to the ESS office and answers phone calls on behalf of the Admissions team and other ESS departments.
  • Serves as the primary front desk coverage representative for the first half of the day – organizes and executes the daily front desk opening procedures and supports coverage of the front reception area on a daily/weekly basis.
  • Serves as the initial point of contact for new and continuing students visiting ESS and helps direct prospective and continuing students to the information or personnel they need.
  • Oversees the campus visit website pages for effectiveness, accuracy of information, and ease of use.
  • In collaboration with the Student Success Coordinator, serves as the ESS suite office manager and oversees the organization and appearance of the ESS front desk and ensures the office and kitchen are stocked and hospitable for prospective and continuing student appointments and visits.
  • Provides administrative support to the Director of Admissions, including budget coordination, expense reports, and credit card statement reconciliation.
  • Provides administrative support, as needed, to the division of Enrollment and Student Success.

Education/Training/Skills

  • Bachelor’s degree strongly preferred
  • Extensive customer service experience
  • Organizational skills with a strong attention to detail
  • Strong written, oral, and interpersonal communication skills
  • Experience with office or project management and standard office equipment
  • Working knowledge of computer programs, including Microsoft Office and Outlook and Slate CRM (preferred)

  • Willingness to speak on behalf of the seminary to prospective students and provide a hospitable environment for new and continuing students.
  • Ability to relate charitably and hospitably with diverse audiences and viewpoints.
  • Desire to take ownership of the role to fulfill the job responsibilities with excellence.
  • Desire to improve the efficiency of the enrollment coordinator role as well as general office policies and procedures.
  • Ability to handle ongoing interruptions while meeting project timelines and goals.
  • Desire to graciously screen visitors and direct them to the information they need.
  • Willingness to ensure the front office is opened on time each day.
  • Attention to detail and a high standard of personal organization.
  • Ability to manage a variety of responsibilities during any given day.
  • Passion for managing a revolving door of visitors and requests.
  • Willing to work with varying levels of supervision depending on the task.

  • A successful prospective student visit experience that inspires and encourages students to enroll at Denver Seminary.
  • An efficient and well-run ESS office with tasks performed effectively and on time.
  • Quick response for enrollment FAQs, with successful handoffs as necessary.
  • Seamless schedule of front desk coverage, Monday through Friday from 8 am -12 pm.
  • Management of work study scheduling for front desk coverage and student visits.
  • Positive relationship between all members of the admissions team and between the admissions team and the rest of the seminary.
  • Support for the Director of Admissions that allows for minimal oversight of ongoing administrative tasks.
  • Organized and customer-friendly front office.
  • Successful recruitment of prospective students to Denver Seminary.

Typical Physical Demands and Working Conditions

Normal office working conditions, including computer usage, may require occasional standing, walking, long periods of sitting, climbing stairs, balancing, stooping, kneeling, crouching, or crawling.  The employee must occasionally lift and/or move up to 25 pounds.
