Job description Position Summary –

The Executive Assistant position is full time or part time and provides week to week administrative support to the Lead Pastors, Staff and Leadership of Legacy Chapel. Ensuring the ministry of Legacy Chapel is organized and functioning with the highest level of excellence, efficiency, and effectiveness as possible within the resources available. The Ministry Administrator is responsible to the Lead Pastors and assigned the primary objectives of Church Office, All-Church Communications, and Events & Special Projects.

Primary Objectives Church Office – Maintaining a daily, weekly, and monthly routine task list to accomplish the many objectives and goals of a growing church and preschool. Organization, time management, and problem-solving skills will be required each day to ensure ministry objectives and projects are completed on time and with excellence.

All-Church Communications – Communication is critical to the mission of the church and preschool. This position will be the first contact the community will have with the ministry therefore excellent communication skills are essential. All forms of communication must be professional, courteous and warm display Christ’s love and excellence.

Events & Special Projects – Beyond the routine tasks, most weeks will include an assigned special project and most months of the year will include an church event or outreach supporting a strategic objective or outreach event. This is a very broad category and could include but are not limited to researching and planning mission trips, support for our local outreach events, church event planning, pricing new inventory, planting flowers, booking travel arrangements or anything else the Lead Pastors’ direct.

Qualifications Experience in office clerical or administrative assistant functions. Proficient skills in Microsoft Office and Google Suite Excellent verbal and written skills including proper grammar and punctuation. Passionate for efficient checklists and routine tasks achieving strategic objectives Project Management experience with the ability to multitask with expectations and deadlines. A track record of being relationally mature and proficient to navigate different relationships both inside and outside the local church context.

General Responsibilities: The outline below is meant to be a general list of responsibilities and is not meant to be an exhaustive list but it is provided to give an overview. Additional duties or responsibilities will be directed by the Lead Pastor. Perform standard front desk and receptionist duties with enthusiasm and professionalism. Warmly and directly greet every person coming into the building. Professional dress and hygiene is required. Manage and maintain the Church Management System so it is useful for Staff, Leadership, and Volunteers. Proactively connect and build relationships with people within the church and preschool. Provide organization and cleanliness to work areas as well as any other work spaces used. Punctual and timely attendance to office hours, meetings, and church services. Ministry prep and organization for the week or upcoming week. Effective and efficient oral and written communication. Manage inventory (track, price, shop and reorder) for the church and preschool. Report building issues – broken furniture, water leaks, etc. Basic graphic design or graphics updating for communications and media. Execute special projects assigned by Lead Pastors.

Standard Work Schedule: Minimum of 40 hours per week Sundays – 8:00am to 1:00pm Monday to Thursday from 8:00am to 5:00pm Staff Meeting – Evening Hours: 2-3 hours / week Friday – OFF

It must be clearly understood this is a critical position for the church and one of the few full-time positions. All our staff have an outside job while serving fervently and faithfully at Legacy Chapel. We believe the best candidate would be an ambitious person who is passionate about God and His Kingdom and the can envision themselves serving and growing with Legacy Chapel!
