Work Study – Chair of Counseling Division’s Administrative Assistant

General Statement of Job Function

Supports the Chair of the Counseling Division through administrative and organizational tasks:

  • Assisting the Chair of the Counseling Division in administrative tasks to support that role such as event planning and execution, ordering and picking up office supplies, creating Excel spreadsheets, editing presentations as well as other administrative tasks.
  • Overseeing mail distribution and coordinating divisional communication to students or faculty.
  • Assisting with other projects or administrative support as requested by the Chair of the Counseling Division or as assigned by the Office of Academic Affairs.

Example of Duties

  • Talking on the phone, taking messages, and taking materials to the appropriate office on campus
  • Drafts, formats, produces, and reproduces letters and documents upon request
  • Assists with New Student Orientation and other Counseling Division events
  • Researching information as requested
  • Mail distribution – creating labels, drafting and printing letters, collecting mail for Faculty, and taking mail to mailroom
  • Divisional Communication – managing and updating the Counseling Division’s SharePoint site for faculty and communicating with groups with Outlook.

Education/Training/Qualifications

  • Ability to navigate with competence in Microsoft Programs (Word, Access, Excel, Outlook, Forms) as well as our LMS platform (Moodle).
  • Presents a confident and professional approach when working with other professionals and the public.
  • Understands the importance of confidentiality, is attentive to confidentiality issues, and works to preserve confidentiality.
  • Is capable of drafting, formatting, and processing correspondence documents.
  • Must be able to sign the Denver Seminary Statement of Faith, Lifestyle Covenant, Confidentiality Form, and Sexuality Statement.
  • Office experience is preferred.

Outcomes

  • The Counseling Division Administrative Assistant (Work Study) will provide support to the Counseling Division by providing services to students, faculty, adjunct faculty, staff members and the public.
  • The Work Study will assist in administrative office work so that the Chair of the Counseling Division may be supported in their division management.
  • This position will be in the office for 10 hours per week.

Typical Physical Demands and Working Conditions

Ability to distinguish letters and symbols, prolonged sitting or standing, light walking and climbing stairs with some light lifting; prolonged typing and computer work.
